Administrative Specialist - Crime Victims Compensation Board/Victim Services Division

The Office of the Kansas Attorney General (OAG) is accepting applications for an Administrative Specialist in our Victim Services Division.  This position serves as the Administrative Specialist for the Crime Victims Compensation Board Members and Division Chief.  This position requires a high degree of accuracy and an exceptional attention to detail.  Successful applicants will be well-organized, self-motivated and dependable.

  PRIMARY DUTIES 

  • Prepare monthly information packets of material for board members prior to scheduled board meetings.
  • Assist the Division Chief with maintaining Division records in accordance with Records Retention Schedule.
  • Answer telephone calls, greet and assist visitors.  This position has daily contact with victims, providers, attorneys, and law enforcement personnel to provide general program and specific claim information.
  • Conduct initial review of applications for completeness and accuracy.
  • Enter claim information into electronic database and confirm accurate electronic records of paper documents.
  • Send letters requesting information required for processing.
  • Review information for accuracy before letters are mailed out and utilize the same information to create payment requests for approved payments.
  • Screen victim applicants for possible referral to a victim advocate.
  • Maintain and order Division's State Printer materials through established agency processes.
  • Prepare travel vouchers for board members and Division Chief.
  • Prepare and submit timesheets for board members to Human Resources.

  • Identify and implement solutions to problems in general and urgent matters
  • Seek counsel of supervisor on concerns or other issues as appropriate

  • Cross train for other positions to cover when necessary
  • Professionalism (in dress, communication and behavior) while representing the OAG (onsite, professional and community events and via communications)
  • Participate and attend meeting as requested
  • Recommend policies and procedures as it relates to area of responsibility
  • Timely responses to inquiries for information to customers, staff and vendors
  • Answer telephone calls and provide a prompt response
  • Follow OAG policies and procedures

TRAVEL 

Occasional in-state travel may be required.  A valid driver's license is required when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.


Qualifications

  • Graduate from a high school accredited by the Kansas State Board of Education or the appropriate accrediting
  • Formal education in office technology, office administration, or related field(s) may be substituted for work experience, as deemed by the Attorney General to be sufficient qualification to perform the assigned work.
  • A minimum of three (3) years of work experience in a general office, clerical, or administrative role.
  • Reception experience to include operation of multiple-line telephone system(s).
  • Experience working in a customer service-oriented environment.
  • Strong proficiency in MS Office (Word, Excel, Outlook) and Adobe Acrobat.
  • Familiarity with an electronic case management system. 

PREFERRED REQUIREMENTS 

  • Bilingual skills (especially Spanish-speaking) are highly desired.

Attorneys

Attorneys employed with the OAG are designated as Deputy Attorneys General, Assistant Attorneys General, or similar. Our attorneys specialize in the practice of various fields of law including administrative, antitrust, civil litigation, criminal litigation, employment, and environmental to name just a few.

Minimum Qualifications

  • Graduation from an accredited law school
  • Admission to and membership in good standing with the Bar of the Supreme Court of Kansas
  • Admission to or eligibility for admission to the U.S. District Court for the District of Kansas and U.S. Court of Appeals for the Tenth Circuit

Special Agents

Commissioned law enforcement personnel who conduct civil and/or criminal investigations and perform other law enforcement duties.

Minimum Qualifications

  • Current or past full-time law enforcement certification
  • Three (3) years of law enforcement experience

Investigators

Civilian personnel who gather information, conduct interviews and manage a caseload of civil matters or complaints. No law enforcement duties are associated with these positions.

Minimum Qualifications

  • Graduation from an accredited four-year college or university with major course work in business administration, communications, criminal justice, or related field(s)
  • Related professional or technical experience may be substituted for the required college study

Information Technology (IT)

IT is critical to the efficient and effective operations of the OAG. Areas of specialty include database administration, network monitoring and maintenance, IT security and end-user support.

Administration/Clerical

Administrative and clerical staff are needed to support the mission of the OAG. These include positions such as accountants, legal assistants and clerical positions with increasing levels of complexity and responsibility. Many of these positions provide support to the administrative, investigative and/or legal functions of the agency.

In accordance with K.S.A. 75-3111 and K.S.A. 75-2935(1)(j), officers and employees in the OAG are in the unclassified service of the Kansas Civil Service Act. Unclassified positions are not subject to the entitlements provided to employees in the classified service as defined by the Kansas Civil Service Act. Employees of the OAG serve at the pleasure of the Attorney General and are terminable at-will.
