The Office of the Kansas Attorney General (OAG) is accepting applications for an Administrative Specialist in our Victim Services Division. This position serves as the Administrative Specialist for the Crime Victims Compensation Board Members and Division Chief. This position requires a high degree of accuracy and an exceptional attention to detail. Successful applicants will be well-organized, self-motivated and dependable.
PRIMARY DUTIES
- Prepare monthly information packets of material for board members prior to scheduled board meetings.
- Assist the Division Chief with maintaining Division records in accordance with Records Retention Schedule.
- Answer telephone calls, greet and assist visitors. This position has daily contact with victims, providers, attorneys, and law enforcement personnel to provide general program and specific claim information.
- Conduct initial review of applications for completeness and accuracy.
- Enter claim information into electronic database and confirm accurate electronic records of paper documents.
- Send letters requesting information required for processing.
- Review information for accuracy before letters are mailed out and utilize the same information to create payment requests for approved payments.
- Screen victim applicants for possible referral to a victim advocate.
- Maintain and order Division's State Printer materials through established agency processes.
- Prepare travel vouchers for board members and Division Chief.
- Prepare and submit timesheets for board members to Human Resources.

- Timely responses to inquiries for information to customers, staff and vendors
- Answer telephone calls and provide a prompt response
- Follow OAG policies and procedures

TRAVEL
Occasional in-state travel may be required. A valid driver's license is required when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.
Qualifications
- Graduate from a high school accredited by the Kansas State Board of Education or the appropriate accrediting
- Formal education in office technology, office administration, or related field(s) may be substituted for work experience, as deemed by the Attorney General to be sufficient qualification to perform the assigned work.
- A minimum of three (3) years of work experience in a general office, clerical, or administrative role.
- Reception experience to include operation of multiple-line telephone system(s).
- Experience working in a customer service-oriented environment.
- Strong proficiency in MS Office (Word, Excel, Outlook) and Adobe Acrobat.
- Familiarity with an electronic case management system.
PREFERRED REQUIREMENTS
- Bilingual skills (especially Spanish-speaking) are highly desired.
